Create Localized Compensation Letters using SAP Smart Forms

Printing Compensation Letters in Languages via SAP Smart FormsCommunication about pay and rewards can be the most positive aspect of reward programs or their greatest weakness. How well your organization communicates compensation has more impact on employee perceptions of pay than the compensation itself.

In SAP, a compensation letter describes the salary structure, bonus, annual increment (current year and previous year) and position details. The letters can be printed or displayed through an ABAP transaction code using a Smart Form.

Using SAP Smart Forms

SAP Smart Forms enables Power Users to create and modify forms using a graphical interface instead of scripts. Smart Forms eliminates the need to use scripts so you don’t need to engage a developer. This substantially reduces the cost and time to implement new forms and changes. Smart Forms also allows Power Users to modify the forms programmers have created.

A Page Layout tool makes organization the form and embedding logos easier, while the Table Painter helps embed tables to format and display information. forms. A Smart Form generates a function module when it is activated than enables users to display and print letters as a PDF form.

A visual hierarchy structure (tree structure) displays the available individual nodes and their attributes. To make changes, we can drag and drop nodes into the form, copy and paste them, then select the attributes.

The interface provides tools to check individual nodes as well as the entire form for errors. The data flow analysis checks whether all fields (variables) have a defined value at the moment they will be displayed.

Localizing Smart Forms

In a global organization, an import component of employee communications is the ability to provide a compensation letter in the employee’s primary language.

Creating a localized Smart Form requires that the language components are in place.

  • The language and its support package have been installed.
  • The paragraphs to be used in the Smart Form have been translated. 

Once the language has been installed and enabled, you can translate the customized content for your compensation letter. Here are the steps for creating a compensation letter for your Chinese employees:

  • First create the paragraphs using “SMARTSTYLES” transaction code with font family as CNSONG (Standard DB font China).
  • Design the smart form utilizing these paragraphs in the pages.
  • Run the smart form and choose the Chinese font enabled printer (for exampleCNHPLJ4) to display in Chinese language. 

The standard database PNP will be used in the custom program to pull the employee details and compensation details. The program will send the information to Smart Form and display the employee and compensation details Chinese language.
